Privacy Policy

CorkKeep is a wine cellar app run by Hallows Group (“we”). This policy covers the websites at corkkeep.app and my.corkkeep.app and the CorkKeep apps for iPhone and Android. The short version: we keep what you put in your cellar so we can show it back to you, we do not sell it, we do not show ads, and we do not run analytics or advertising trackers.
What we collect
- Your account. Your email address and, if you give it, your name. Sign-in is handled by Clerk, which also keeps your password or sign-in method; we never see your password.
- Your cellar. The bottles you add and everything you record about them: vintage, size, where they are stored, what you paid and when, tags, notes, drinking windows, what happened to each bottle, and your ratings and tasting notes.
- Label photos. Photos you take or upload for a bottle. They are stored privately and shown only to you and to people you share the cellar with.
- Files you import. The rows of a CSV you import are held only until the import finishes, then deleted.
- Sharing. If you invite someone to your cellar we store the email address you invite, and they can see or edit the cellar according to the role you give them.
- Your subscription. Whether you are on Free or Premium, which store the subscription came from, and when it renews or ends. Payments are taken by Apple, Google or Stripe. We never receive your card number.
- Technical records. Our servers log requests (time, address, the page or action, and errors) so we can keep the service running and secure. The website uses a sign-in cookie and remembers which cellar you were looking at in your browser’s storage. We set no advertising or analytics cookies.
The phone app asks for your camera or photo library only when you scan a label or add a photo, and for permission to send notifications. It asks the App Store or Google Play whether you are 18 or older and does not keep the answer. It uses nothing else on your device.
How we use it
To run your cellar: to show your bottles, work out drinking windows, answer your questions, carry out imports and exports, apply your plan’s limits, keep the service secure and reply when you write to us. We do not use your cellar to advertise to you, and we do not sell or rent your information to anyone.
Who helps us run CorkKeep
These companies process information for us, and only to provide their part of the service:
- Cloudflare hosts the app and stores your cellar and photos.
- Clerk runs sign-in and keeps your login details.
- RevenueCat, Apple, Google and Stripe handle subscriptions and payments. RevenueCat knows you by an internal account number, not your name.
- grapeminds supplies the wine catalog. It receives the words you type into wine search.
- FastCork reads wine labels. It receives the front label photo when you scan one, and the words you type into wine search when the catalog finds too few matches.
- OpenRouter and Claude, Anthropic’s AI model (run for us by Amazon or Google) power Merlot, read labels FastCork cannot, and estimate a drinking window for wines the catalog does not know. For Merlot they receive your question and the bottles needed to answer it; for a label, the photo (and a back label photo if you add one); for an estimate, only the wine. They never receive your name or email, keep nothing once they have answered, and do not train on it. If you report one of Merlot’s answers, we keep that question and answer to review it until you delete your account.
- Expo, Apple and Google deliver notifications to your phone. A notification names the bottle or cellar it is about and, when someone shares a cellar with you, their email address.
- Sentry receives a report when the phone app crashes or hits an error: what went wrong, the app version, and the phone model and system version. It never receives your name, email or cellar.
- An AI assistant you connect yourself. If you connect an assistant such as Claude to CorkKeep (Account, “Connect an AI assistant”), it can read your cellar on your behalf. What it does with that is set by the assistant you chose and its own policy, not by us. You can disconnect it at any time in that assistant.
We may also disclose information if the law requires it, or to a successor if CorkKeep is ever sold or merged, under the same promises as this policy.
Where it is kept and for how long
Your information is processed in the United States and in other countries where these providers operate. We keep it for as long as you have an account. When you ask us to delete your account we delete your cellar, photos and account details within 30 days, apart from anything we must keep by law, such as payment records held by the stores.
Your choices
- Take your data. Export your whole cellar as a CSV at any time from Import & export.
- Correct it. Edit or delete any bottle, photo, note or rating in the app.
- Delete your account. Do it yourself in the app or on the web, at any time: how to delete your account. Or email support@corkkeep.app from the address on your account and we will delete it. Cancelling a subscription is separate: do that with Apple, Google or from the Premium page.
- Ask us. Depending on where you live you may have legal rights to access, correct, delete or move your information, or to object to how it is used. Write to support@corkkeep.app and we will respond within 30 days. You may also complain to your local data protection authority.
Age
CorkKeep is about alcohol and is only for people of legal drinking age where they live, and never for anyone under 18. We do not knowingly collect information from anyone younger.
Changes
If we change this policy we will update the date above, and if the change is significant we will tell you in the app or by email before it takes effect.
